Wedding Planner's Timeline & Schedule

1-Year to 9-Months Before
  • Free Budget Plan
  • Assistance in choosing your Wedding Party
  • Assistance in creating an initial Guest List
  • Reserve your date with venues and vendors
  • Book your officiant (if needed)
  •  Research and coordinate photographers, musicians, florists, and caterers.
  • Free Wedding Binder to keep track of your budget and all contact information for invitees/guest, venue, and vendors, including photographer, florist, etc.
8-Months Before
Free Inspiration Book based upon the Bride's vision highlighting all the aspects of her dream wedding. 

6/7-Months Before
  • Assistance in choosing formal invitations (If desired, a calligrapher may be hired based upon couple's budget)
  • Discuss, plan and coordinate honeymoon itinerary  (Event planner not responsible for couple's passports or visas and up-to-date immunizations) 
  •   Assist Bride in shopping and fitting bridesmaids for their dresses.
  • Couple will book and meet with the officiant to discuss the ceremony and confirm that all the official documents for the wedding are in place. 
  • Planner will determine and reserve structural and electrical necessities such as outdoor toilets, tents, extra chairs, lighting components, etc.
  • Planner will book a florist and ensure that the necessary contracts are in order.
  • Planner will arrange transportation for the wedding/reception (limos, minibuses, trolleys, and town cars.) 
  • Planner will assist the couple in planning a wedding day timeline  
    (Timeline will include the wedding start time,the  bride's entrance, the cutting of the cake, and the time of the first dance).
4/5-Months Before
Couples should formally announce their wedding party, or bachelorette /bachelor party date - preferably during a wedding party dinner.  Couples should also decide which song to use to kick off the first dance?  And, make a list of what you do and do not want—played during the ceremony and reception.
3-Months Before
  • Planner will assist the Bride in finalizing the food menu and flowers.
  • Planner will assist the Bride in ordering favors for guests and the bridal party
  • Couple should make a list of the people who will be giving toasts.
  • Couple should finalize the readings of their vows, and any other readings to be read at the ceremony—and whom they wish to do the readings.
  • Bride should purchase her wedding undergarments, and schedule second fitting.
  • Planner will finalize the order of the ceremony and the reception based upon the couple's wishes.
  • Planner will finalize and print menu cards and programs, if couple desires (additional fees will incur for stationery and printing services) 
  • If couples have not already done so, they should purchase their rings during this time period to ensure ample time for engraving and resizing...  
  • Planner will forward a tentative event schedule and wedding information to all the vendors.
2-Months Before
  • Planner will follow-up with all vendors to address any questions, revisions and/or changes.
  • Planner will meet with the photographer at the wedding/reception location to finalize and discuss any specific requests from the couple regarding shot angles, and a walk-thru of the areas.
  • Planner will meet with and review the playlist with the musicians and/or deejay.
  • Planner will assist the couple sending out the finalized invitations, and setting the RSVP cut-off date (3-weeks after postmark).
  • Planner will submit, per couple's choosing, one newspaper and one wedding magazine announcement photo.
  • Planner will assist the Maid-of-Honor or bachelorette party host with planning, organizing and/or finalizing a Ladie's Night Out event for the Bride. 



1-Month Before
Wedding Planner will assist the couple in finalizing the following items:
  • Entering all RSVPs into a guest-list database, including contact information and any special menu requests.
  • Contacting all invitees who have yet to respond. 
  • Ensure that the couple have all the proper documents in place, including marriage license, name change application for the Bride, and passport , visa and immunization records if needed.
  • Email/Mail the rehearsal-dinner invitations.
  • Make arrangements for a dress rehearsal and fitting for the Bride's wedding dress (Bride should also bring wedding shoes and accessories).
  • Order alcoholic beverages, utensils, and garnishes equal to double the final headcount.
  • During this time period, it is important to send out as many final payments as possible.
    Confirm arrival time of hair stylist (any dramatic changes to Bride's hair such as style cutting or hair coloring should be made at this time), makeup artist and other vendors.
  • Confirm that all chauffers and/or drivers of transport vehicles have the instructions and directions for the pick-up/drop-off points.
  • Finalize the layout  of the room and plan place settings, and assign seating.
  • Choosing the  bridesmaids’ gifts to be presented at the rehearsal dinner
Week of Wedding
Wedding Planner will assist the couple with the following items during the final week of their big day
:
  • Reconfirm arrival times with vendors.
  • Delegate small wedding-day tasks.
  • Arranging for someone to bustle your dress, someone to carry your things, someone to be in charge of gifts (especially theenveloped sort), someone to hand out tips, and someone to be the point person for each vendor (All of this information will be included in the Bride's Wedding Book). 
  • Send a timeline to the bridal party.
  • Arrange for the pick-up or delivery of the Bride's wedding gown.
  • Final check with the the photographer (ensure that they know exactly what moments you want to capture).
  • Prepare payments and/or pre-date checks for the vendors, including separate envelopes for each's vendors' tip.
  • Make an appointment for the Bride's manicure and a pedicure 2-days before the wedding (Bride should also make-sure to break in her wedding shoes if needed). 
  • Book the Bride's spa treatment and stress relieving massage 1-day before wedding.
  • Final guest list (head count) will be forwarded to caterer and all venues hosting the wedding-related events.
  • Assemble and distribute the welcome baskets.
  • Packing for the honeymoon
